Plan a private Canada–U.S. student or university visit around the residence, department or visitor location you actually need. The right building, move-in window and luggage inventory matter more than using the institution's main mailing address.

Campus journeys

More specific than a university name.

Large institutions can have several campuses and residences. The exact address makes the journey useful.

Move-in and move-out

Give the residence building, arrival slot and bag or box inventory. Do not assume a passenger vehicle can carry an entire room's contents; dispatch needs to review the load.

Airport connections

Include the actual airport, terminal or flight number. A DTW departure has check-in and border planning requirements; a DTW arrival needs coordinated airport pickup instructions.

Identify the visitor entrance or meeting location, not only the institution. List any hotel stop or second campus so it can be included in the itinerary.

The useful details are the ones that change vehicle fit, access or arrival timing.

Check campus access

Confirm where vehicles may stop and whether a residence has a specific move-in loading point. Send updated instructions if the campus changes its access arrangements.

Prepare entry documents

Each traveller must check the entry requirements for the country being entered. Studying in Canada does not itself establish permission to enter the United States.

Contact on the day

Provide a reachable travelling contact and, where helpful, the person meeting the vehicle. A campus reception desk is not automatically a designated recipient.

Return and extra stops

If family members need a return trip after helping with move-in, request it through the booking flow's return-trip prompt or discuss it with dispatch. Include the expected finish time and additional addresses.

Use current university directions before finalising a pickup or arrival.

Windsor: main campus or downtown

The University of Windsor lists distinct directions for its main campus, Windsor Hall and School of Creative Arts. Name the destination building; “University of Windsor” alone does not identify the correct entrance.

Waterloo: confirm the city too

The University of Waterloo publishes campus locations in Waterloo, Kitchener and Cambridge. Include the campus and building on the request, especially when travelling with someone who is unfamiliar with the region.

Example: a student arriving for residence move-in

  • Confirm the residence's current arrival instructions and key-collection window.
  • Request travel with the student's luggage inventory and any accompanying family members.
  • Arrange the family's later return separately if they are not staying with the student.

A different luggage mix? Share the bag counts and sizes with dispatch for a fit check, including child seats or oversized items. Sedan and SUV layouts are alternatives, not combined loads. We track arriving flights. Keep dispatch informed about delayed baggage or arrival formalities and confirm additional waiting charges beyond these allowances.

Changes, cancellations & flight disruption.

Cancel at least 24 hours before the scheduled departure for free cancellation and a full refund. Cancellations within 24 hours and no-shows are non-refundable.

If your flight is cancelled, we offer free rescheduling. Contact dispatch with the replacement flight details to arrange your new pickup; a changed flight should not be left as an unreported no-show.

Normal crossing included. Traveller holds are different.

The normal border crossing is included. If a traveller-related issue causes a border hold, waiting is charged at USD $2.00 per minute until the traveller is released. This is different from the normal border queue or the airport pickup allowance.

Prepare the correct documents for each passenger and clarify any travel-status questions with the relevant authorities before departure. A transport reservation cannot guarantee entry or release time.

Can I bring move-in boxes as well as suitcases?

List their number and approximate sizes before requesting a vehicle. Dispatch needs to confirm fit alongside the passengers; passenger transport is not an unlimited moving service.

Can you collect from a university residence?

Provide the residence name, full address and a permitted vehicle meeting point. Campus access rules and temporary move-in arrangements may affect the exact pickup location.

Can a parent travel with the student and return later?

Include both travellers for the outbound journey and request the parent's return using the return-trip prompt or dispatch. The return schedule and availability need separate confirmation.

Does a Canadian study permit cover the U.S. crossing?

Do not assume that it does. Entry requirements depend on citizenship, status and the purpose of travel. Each passenger should check the official requirements before booking a route through or into the United States.
